Membership and admission to the library

The oldest and largest university library in Kerala,
serving generations of learners, teachers, and researchers with rich print collections,
rare archives, special studies, and expanding digital resources.

Membership and Admission to the Library

  1. Access: Admission is restricted to members. However, non-members who wish to consult library resources may do so with the permission of the Librarian or, in the Librarian’s absence, the senior-most staff member on duty. Such permission is granted only on valid reasons.
  2. Entry formalities: Before entering, visitors must sign the Gate Register and present the Membership Card at the counter. Private books and personal belongings must be deposited at the Property Counter and a token obtained.
    With the Librarian’s permission, members may use laptops or tablets within the designated reading area.
  3. Eligibility: Membership is open to the following categories:
    • Students, Research Scholars and teachers of the University and affiliated colleges
    • Heads of the non-teaching Departments of the University
    • Members of the Senate
    • Members of the Syndicate
    • Members of the Faculties and Boards of Studies
    • Non-teaching staff of the University and its Departments
    • Graduates of recognized Universities and Oriental title holders residing in Kerala (not covered under the categories above)
    • Eminent Scholars
    • Recognized Institutions
    • Others, at the discretion of the Vice-Chancellor
  4. Application: Membership applications must be submitted in the prescribed form available from the Library.
    • Students and teachers of the University/affiliated colleges must obtain recommendations from the Heads of Departments/Principals, as applicable.
    • Applicants under the Non-Teaching Staff category must also obtain recommendations from their immediate Gazetted Superiors.
    • All other applicants must be recommended by eligible authorities (Gazetted Officers/MLAs/Members of the Syndicate/Headmasters/Principals/Bank Managers or equivalent, as accepted by the Librarian). Recommenders may be required to make good any irrecoverable loss to the Library arising from the membership they recommend.
    • For Graduate Membership, the original or attested copy of the degree certificate must be produced for verification.
  5. Institutional Membership: Applications must be signed by the Head of the Institution.
  6. Eminent Scholar Membership: Applicants (age above 25) with outstanding contributions in Science/Social Sciences/Humanities/Arts evidenced by national or international recognition/awards are eligible. The application must be attested by a Gazetted Officer having not less than 3 more years of service.
  7. Public Graduate Membership: Granted for one year initially and renewable annually by paying the subscription fee. Graduate members must produce a fresh recommendation from a Gazetted Officer once every 3 years. Gazetted Officers recommending applications should have three or more years to retire.
  8. Research Scholars: Granted an initial one-year membership and renewable annually upon submission of a recommendation letter from the research supervisor.
  9. Teachers (Affiliated Colleges): Granted one-year membership initially and renewable by paying the annual subscription fee and providing an employment certificate.
  10. University Staff (Teaching and Non-Teaching): Membership is issued up to the date of retirement and does not require annual renewal.
  11. Photograph: A passport size photograph must be submitted along with the application form for affixing on the membership card (not required for Institutional Membership).

Refund of deposit: The membership deposit will be refunded after closure/withdrawal of membership, upon payment of dues and surrender of the membership card along with borrower’s tickets. A prior notice of one week is required to claim the caution deposit.

  1. Single category: A person eligible under two or more categories may take membership only in one category of their choice. Membership will cease when eligibility under that category ceases; continued membership requires fresh enrollment in the changed category. In case of change of Institution/Department for teachers, students, or employees, recommendation from the Head of the new Institution/Department is required.
  2. Change of address: Members must inform the Library of any change in address during the membership period.
  3. Temporary Membership: Non-members may consult books, journals, thesis etc. with permission of the Librarian or senior-most staff on duty, on payment of fees as prescribed by the University from time to time. A Temporary Membership Card (TMC) will be issued upon payment of the applicable fee.
